Clinic answering service that never misses a call

A ring that goes unanswered at lunchtime is a new patient who registers elsewhere - and a slot that never fills.

Clinic phones peak exactly when the front desk is busiest, and new-patient enquiries are the ones that get dropped. Nobody rings back a clinic that did not answer.

What it captures on a clinic call

  • New patient or existing, and what the appointment is for
  • Whether it is urgent, and how long it has been going on
  • Whether they are insured, and the plan name if they know it
  • Preferred day and time, plus appointment reminders opt-in
  • The name, date of birth and contact number for the record
  • Whether they were referred, and by whom

How a call sounds

CALLER

I have been getting headaches for a week and I would like to be seen.

AI RECEPTIONIST

Thank you for telling me. Are you registered with us already, and is any day better for you?

CALLER

No, I am new to the clinic.

AI RECEPTIONIST

Thank you. I have noted the symptoms; the team will call you back to confirm a time and take your details.

An illustration of how a call unfolds, not a recording. Every prompt is tuned to your business before it goes live.

What a missed call costs a clinic

  • a call nobody picks up leaves no record of itself: no message, no number, no way to count it
  • so the jobs you never hear about cannot be counted either - which is the whole problem
  • put your own numbers on it: your average job value, times the calls you miss in a week

No industry statistic and no customer story is quoted above, because we cannot verify one for your trade and this business has no customers yet. The only figures we can stand behind are our own, and they are the whole offer: $99 one-time setup, then 30¢ a minute charged by the second, out of a balance you top up from $25. No packages, no monthly fee.

Pay the $99 setup — get started Start here: the button takes the one-time $99 setup. The same link takes any top-up to your calling balance later — 30¢ a minute charged by the second, and the smallest top-up is $25. Card or bank transfer, whichever suits you, and we never take card details over the phone.

The calls that decide your week

The patient who rings at 8am

Somebody unwell does not wait for office hours and rarely leaves a voicemail. They ring round until a person answers, and the clinic that picks up gets the appointment and everything that follows it.

The new patient who never called back

Somebody ringing to register is choosing between three clinics. A reception desk busy with a patient in front of it lets those calls ring out, and the caller simply moves down the list.

Lunchtime, when nobody is on the desk

Which is exactly when working people call. The calls that arrive while the desk is on a break are the ones that go unanswered - and they are usually new patients.

What lands in your inbox - and what never happens

Every call ends the same way: one job card, written out, with enough detail to price the job. And the limits are worth knowing before you buy, not after.

On the card

  • The patient's name, date of birth and a confirmed callback number
  • The reason for the call, and whether it is urgent
  • Whether they are a new patient or already registered
  • Which clinician or service they are asking for, if they know
  • Whether they are insured or paying privately

What it will never do

  • Give clinical advice or diagnose
  • Quote a treatment price
  • Promise a specific clinician
  • Claim to be you or anyone on reception

Live in a day, on the number your customers already dial

You keep the number your patients already have - forwarded or ported, so nothing changes for them. The receptionist is tuned to your practice: your opening hours, how you triage pain, which treatments you want to take inquiries for, and who covers the phone out of hours. Changes are edits to a rule, fixed the same day. No monthly bill, no contract: a one-time setup and minutes that never expire.

Questions we get asked

Is patient information handled safely?

Calls and transcripts are stored for the practice to review. The AI only asks what your intake process needs, and it never discusses clinical advice or another patient.

Can it book directly into our diary?

It offers the slots you release and confirms the slot with the caller; the booking rules are entirely yours.

What about emergencies?

Pain, swelling and trauma are flagged immediately and routed to the practice's own emergency rule.

Does it give clinical advice?

No. It takes the symptoms, flags pain and swelling as urgent and passes it to you. It will not diagnose or suggest treatment.

Can it tell a new patient from an existing one?

Yes. It asks, and it captures the date of birth and contact details the same way your reception team would.

What about patient data and privacy?

It collects only what is needed to book or triage a call, and it never takes card or bank details. Your practice rules around patient data are something we agree with you before it goes live.
